Installation Assistant

GENERAL SUMMARY:

Under the direction of the Metro Installation Manager, this position is responsible for providing administrative support to the district’s installation function, the Metro Installation Manager, and the Project Coordinators. The incumbent is responsible for the daily administration of the department’s installation policies and procedures which include the accurate payment of sub-contractors, accuracy of contracts, and the preparation and maintenance of production reports.

ESSENTIAL FUNCTIONS:

The incumbent maintains direct responsibility for:
•Coordination of payments to sub-contractors including check security.
•Review all installation documents for accuracy and comprehensive completion, and distribute to other departments based on the established process.
•Access, print and deliver production reports to the Metro Installation Manager and the Project Coordinators.
•Create Job Packets for each job and deliver to the Project Coordinator.
•Complete the job backlog updates on an accurate and timely basis.
•Complete the service updates on an accurate and timely basis.
•Administer sub-contractor insurance logs to ensure to ensure adequate coverages are in force.
•Maintain all permit and license information per established policy.
•Complete electronic PPR’s and SPR’s under the guidance of the Project Coordinator.
•Answer and direct incoming telephone calls. Take messages when necessary and distribute to the applicable associate.
•Complete timely and accurate warehouse inventory rechecks as outlined in department policy.
•Perform other duties as assigned.

The incumbent maintains indirect responsibility for:
•Assist in supporting the activities of the Office Coordinator when necessary.

POSITION DIMENSIONS:

?Responsible for the clerical and administrative support to the district installation function for annual installed volume of between $2,500,000 to $20,000,000 per district.
REQUIREMENTS
COMPETENCIES (SKILLS) REQUIRED:

•Computer literacy in Microsoft Office products and in web-based technology.
•Excellent organizational skills required.
•Advanced customer service skills required.
•Ability to lift weights up to 25 lbs.

KNOWLEDGE AND PRACTICAL EXPERIENCE REQUIRED:

•High School graduate.
•One year of experience in an administrative/clerical support role in a production environment.
