Freight Accounting Manager
The Freight Accounting Mgr supports contract logistics customers and is responsible for effective management of accounts payable, accounts receivable, claims resolution, and other administrative tasks.
Responsibilities:
Ensure accurate and timely processing of carrier freight invoices and principal invoices, in accordance with site expectations and customer terms
Manage the reconciliation of accounts payable and accounts receivable for each invoicing run and for the overall monthly P&L statements
Responsible for maintaining accounts receivable within the accepted levels as provided from the general transportation manager
Coordinate timely and effective resolution of claims that satisfies Exel, client, and carrier expectations
Direct and monitor the daily activities and functions for freight accounting coordinators
Coordinate and support compliance with Exel’s financial processes, including P&L management, forecasting, budgeting, and auditing procedures
Communicate with corporate accounts payable and accounts receivable associates as needed
Train associates in all facets of the freight accounting systems to prepare them for advancement, and coordinate participation in cross training programs with freight operations
Assist the freight accounting coordinators with carrier inquiries regarding past due payments, payment applications, payment schedule, billing errors, credit balances, and other general accounting topics
Provide customer support to principals and operations, as needed, including resolving customer invoicing issues/exceptions, providing vendor numbers, answering questions/issues, etc
Identify, coordinate, and support the development and completion of continuous improvement opportunities within freight accounting and operations
Develop and lead benchmarking studies of freight accounting activities, including A/P and claims resolution
Participate as key member of start-up team with emphasis on project management, systems requirements and integration, and work process development
Resources: In Excess of $100 million freight spend for freight throughout North America. Less than 10 direct reports
Performance Indicators:
1. Develop and maintain standard operating procedure manual for each functional task within Freight Administration.
2. Develop reporting package that efficiently captures and measures effectiveness and productivity of Freight Accounting processes. Reports will be distributed. Reports will facilitate benchmarking versus other Exel accounting operations.
3. Maintain outstanding A/R less than 5% past due and less than 2% 61+ for Freight Management.
4. Create a carrier metrics package that captures and measures carrier invoicing compliance. This will include accuracy and timeliness ratings.
5. Create a carrier metrics package that captures and measures carrier claim performance as it relates to percentage of revenue, number of freight bills processed and total days open to close.
REQUIREMENTS
1 – 3 years prior supervisory experience with billing, accounts receivable/payable, preferably in a transportation setting
2-5 Years Supervisory/Mgmt Experience
Bachelor’s Degree in supply chain related discipline or accounting related experience
Strong Organizational skills
Excellent communication skills, both oral and written
Excellent interpersonal skills
Proficient with Microsoft packages, including Excel, Powerpoint, Word, and Access
Thorough understanding of characteristics and pricing structures by mode, including over-the-road (TL, LTL, Pool, Parcel, etc.), rail, and air services
Familiarity with transportation management software (i2, Manugistics, G-Log)
