Summary of Position (General Responsibility and Purpose)
This position is responsible for the administrative and technica, analytical and some administrative support to the Sr. Financial Advisor/CFP and Investment Advisor RepresentativesWealth Management department. Duties include processing new account paperwork (Individual Life, Disability and Long Term Care Insurance, Fixed and Variable Annuities, Securities Products and Brokerage Accounts and Group Retirement Plans), Client Service and Compliance with established standards and regulations. regarding life, investment and pension related business and towards the support of positive client relationships and compliance with related standards and regulations.
Essential Functions
Tasks to be accomplished on a regular basis by the person holding this position include the following. Other tasks may be assigned.
Manage implementation and , underwriting and account set up process of new client business, Screen applications and track progress of approval and/or transfer of assets. Coordinate completion of and submission of underwriting (including medical information) requirements. including application and contract documentation review, flow and fFollow up with Advisor, client, or vendor/carrier as necessarys. Prepare weekly status reports and review with advisor/team.and track necessary communication materials. Screen applications and track progress of approval and/or transfer of assets.
Management implementation, re-enrollment and Trustee review cycle and provide and ongoing client support for Retirement Plan Accounts.Pension plans
Service clients toby proactively reviewing the Tracking Policy Activity Log (TPAL) daily and responding to inquiries and , requests and notices for information expediently. to meet financial service needs and to promote a strong and positive customer relationship experience. Follow up with clients on service issues with carriers, such as late premium notices, address and banking changes, timely and provide assistance as needed to ensure preservation of existing business.to assure clients are contacted as necessary.
Maintain pertinent Client Relationship Management (SLX/FTCS) and physical filingdatabase systems for assigned block of business. to assure accurate and current information of the clients account and financial service products. Maintain physical filing systems as necessary, including file system for pension plans.
PrepareMonitor and track all client communications and applications, including pending filing systems and mailing and delivery of information to clients as necessary. Includes tracking and review of Retirement Plan pension distribution paperwork, and follow up with carriers and vendors as necessary.
Process and distribute incoming New York Life GO mail.
Prepare and maintain documents and files with respect to various compliance requirements including NASD 3010 Log, Outgoing Correspondence Log , SMRU Compliance/Tracking and, U4 Updates. Also, Provide administration and coordination for inspections, audits and random review processes and document history of activity..
Manage data collection activity for prospective and existing clients
Coordinate and prepare client presentations with Advisor, conduct thorough review of documents and materials prior to finalizing client presentation
Schedule client meetings, presentations and other business events for Advisor or Account Executives, as necessary
Maintain adequate and current supply of marketing material, applications and other service forms as required.
Facilitate MDRT application process for Advisors annually.
Attend Account Manager process meetings and assist in creation and documentation of processes/procedures as requested.
Work on client and other business related projects, as assigned.
Produce business reports as requested by Advisor
Maintain good working knowledge of current products and services
Assist in other general office duties on an as needed basis or as assigned, which may include occasional back up duty for receptionist

Educational/Skill/Specialization Requirements
High School diploma (or equivalent) with college degree or equivalent knowledge of financial service industry with 3-5 years of comparable job experience. Willingness to participate in continuing education toward expanding knowledge of products and services as necessary, and to obtain licensing or other related certifications. Willingness to educate oneself on ever-changing industry trends and product developments is required.
