Summary/Position Objectives:

Under the general supervision of the Supervisor, Member Services, this position is responsible for providing administrative support for the Member Services management team and department staff. Responsibilities include preparing documents, correspondence, data entry, special projects and filing. Provides back-up assistance to the PBX Operator.


Essential Functions

Prepares necessary business correspondence, documents and presentation materials for routine and special projects for the department management team.
Maintains an efficient filing system, files as necessary.
Completes, in a timely manner, data entry in department databases for report preparation and distribution.
Prepares minutes from staff meetings or other departmental meetings as required.
Maintains office supply inventory and orders supplies as needed. Organizes and maintains storage room. Sends appropriate reports to storage as indicated.
Sorts, distributes, and records all incoming member services mail and records all returned mail daily. Retrieves and distributes faxes daily.
Provides back-up assistance to the PBX Operator.
Ensures department equipment is functioning properly and seeks assistance when necessary.
Distributes updates to department staff members. Organizes desk and materials for new department employees.
Copies, mails and files member reimbursement requests.
Assists in completing transportation mileage audits and surveys.
Updates department staff information for various logs.
Performs other duties, assignments, and responsibilities as assigned or required.

Secondary Functions:

Works in a manner that is not disruptive to peers, supervisors and/or subordinates.
Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.
Must be available and willing to work such days and hours as the employer determines are necessary or desirable to meet its business needs.
Must be available and willing to travel to such locations and with such frequency as the employer determines is necessary or desirable to meet its business needs. (If travel required.)
Must be able to take direction from several individuals
Knowledge and Skills:
Reads, writes and orally communicates at a level to correctly solicit/explain information
Limited decision making responsibility.
Addition, subtraction, multiplication, and division.
Personal computer, copy/fax machines, Electronic data entry, PBX Telephone
Detail oriented and able to manage several projects simultaneously

Education and Work Experience:
Minimum of three years of clerical/secretarial experience in a fast paced environment. Healthcare experience preferred.
Proficiency utilizing Microsoft Office programs including Word, Excel, Access, PowerPoint and Visio.
