Responsibilities may include vendor setup and maintenance, validation of voucher information, and general ledger account coding. This position ensures the appropriateness and completeness of payments through review and matching of checks to invoices/expense reports. The position is responsible for executing processes related to vendor maintenance, manual checks, wire payments, and stop payments when warranted. Incumbents must also communicate with Associates, vendors, employees, and purchasing agents in resolving discrepancies identified. Accounts payable invoices and other documents must be input/processed in one of ConAgra Foods payables systems (Walker, BPCS, CAS, etc.).Accountabilities
Process variable volume of invoices, verifying accuracy of correct vendor, invoice number, invoice date, due date and correct remit to address. Monitor workloads of AP Associates and provide assistance accordingly.
Audit expense reports and travel advances (when approved) for compliance with ConAgra Foods policies and validate appropriate accounting classification. Reallocate expenses according to procedural guidelines.
Verify payment terms, approval signatures, valid general ledger numbers and valid accounting. Question inconsistencies and discrepancies, following through to resolution.
Review checks exceeding established limits for proper documentation and obtain manual signatures as required. Ensure that signature approval documents are updated as department changes dictate.
Execute procedures according to company policies and IRS requirements related to vendor maintenance, exhibiting an understanding of tax issues for proper setup purposes.
Complete procedures to prepare manual checks, wire payments, void checks, and stop payments when required.
Input invoices into multiple Accounts Payable systems and perform QA approvals.
Analyze the necessity of inter-company transactions and prepare documentation as needed.
Review monthly statements for any outstanding balances and research credit balances in a timely manner.
Prepare correction of invoices to clear balances and provide accurate accounting records prior to check release, ensuring a clear audit trail is maintained.
Research and resolve AP Associate, vendor, employee, and plant inquiries timely, effectively, efficiently, and courteously. Perform analysis to ensure all facts of the inquiry are clearly understood.
Apply appropriate judgment and analysis to vendor problems as escalated by Associates and provide solutions according to department standards.
Prioritize multiple tasks and provide flexibility when requested to work on special projects, including working overtime if necessary to ensure pertinent departmental tasks are completed.
Cross train in other Accounts Payable positions to assist during absences and to expand understanding of the mission of the department. Assist other associates as variable workloads dictate the need so as to accomplish the daily goals of the department.High school graduate, college education a plus.
2+ years previous accounts payable experience.
Knowledge of basic bookkeeping concepts and practices.
Aptitude for details and accuracy.
Computer skills including basic experience in Excel and Word.
Interpersonal and telephone communication skills
