Accounting Clerk/Project Assistant
As the Project Assistant/Accounts Receivable Clerk you will work half of the day with the Projects Department providing a wide range of general to advanced administrative support and project management to include organizing and maintaining spreadsheets and project files. Requires very strong skills in judgment, common sense and organization; with the ability to understand what the mission is, assist in making an assessment of what needs to be done, consider all angles, openly discuss the options, and achieve the objective with limited to no supervision. The other half of the day will be providing accounts receivable support to the Accounting Department. Very strong computer skills are required. Must have the ability to troubleshoot user and equipment problems and possess advanced working knowledge of Outlook, Word, Excel, and 10 key. Must be able to work effectively under pressure with accuracy and enjoy working in a fast paced environment that is constantly changing. Individual is required to have excellent people and phone skills, a clear understanding of how to work with a variety of personalities and be able to balance all expectations. Requires the ability to be very detailed oriented and compose procedures by researching and analyzing the entire process and specifying instructions and procedures in a detailed step-by-step format.
ESSENTIAL DUTIES AND RESPONSIBILITIES but are not limited to the following:
Works with Department Manager to assess what needs to be done, develop a plan on how to resolve all issues and accomplish the objective in a timely manner with limited or no supervisionProposes ways to improve office organization and carry out approved missionsSet up and maintain Excel spreadsheets, numerous files, and marketing systemsPhone calling and follow up contact with a variety of peopleAccounts Receivable inputting and organizing
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
REQUIREMENTS
EDUCATION and/or EXPERIENCE
A minimum of 2 years of successful related experience within the same company. Must have the ability to quickly learn new tasks and have a high level of retention for this information. Must be hard-working, efficient, accurate, and an organized self-starter with the ability to understand how to work well with people who could be resistant to change and be able to balance all expectations effectively.
LANGUAGE SKILLS
Ability to read and interpret instructional manuals and documents. Must have excellent written and verbal skills. Able to communicate clearly, effectively and professionally. Must be able to conduct oneself in a helpful and professional manner that is in-line with the established vision, mission and core values of the company and befitting of a representative from the Administrative Office.
TECHNICAL SKILLS
Requires very strong computer skills and proficiency on a networked PC. Able to troubleshoot user related problems as well as troubleshoot daily equipment issues relating to computers, Xerox copiers and a variety of fax machines. Requires advanced knowledge on using all MS Office Applications such as Word, Excel and a 10 key. Ability to use Outlook’s e-mail, calendar and task manager as part of the daily work routine.
REASONING ABILITY
Ability to apply common sense to carry out instructions furnished in written, oral, or diagram form is a must. Ability to deal with problems by making an evaluation of the situation, draw a conclusion based on the subjective or objective criteria and use common sense and prior experience to come to a conclusion which can be presented to the immediate supervisor for confirmation of the presented answer. Logical thought process and analytical skills is required.
WORK ENVIRONMENT
The employee must enjoy constant changes in what they do and where they work. Duties could range from the most menial of tasks to complex in content. The individual should be able to work effectively in a variety of office environments with a wide range of personality types and work efficiently while multitasking in a highly distractive environment. A certain amount of stress is present due to the nature of the job. The employee must have a reliable vehicle and will be required to run errands and take assignments at area offices located across Oahu. A clear driving record is required.
