AP Accounting Manager
Nature of Work:
Responsible for providing direction and work to Accounts Payable while also supervising, administering, and performing all functions of the department in addition to working on inventory, fixed assets, and budget.
Duties and Responsibilities:
Oversees the overall daily functioning of accounts payable such as the running of checks, approvals, and proper invoicing.
Issues 1099’s to all vendors that are not corporate accounts at the years end.
Reviews IRS requirements such as mileage reimbursement, 1099’s, and relocation expenses.
Assists in establishing Sales and Use Tax procedures by ensuring that all invoices are charging sales tax.
Reviews sales tax filings to ensure that a separate payment is made to the state for the taxes not charged by vendors.
Develops and trains personnel on new procedures and new hires on departmental procedures.
Records inventory on a monthly basis by preparing journal entries to record the monthly usage of materials received and used by the warehouse.
Ensures that accruals in Accounts Payable trade account in the General Ledger match detail in the Accounts Payable system at month end.
Implements fixed assets system and keeps track of all expenses that are related to capitalized items.
Approves and monitors capitalized items per budget to ensure that company stays within pre-established budget numbers.
Settles intercompany balance between Interval International and CCSI to ensure that the balance between the two entities remain clear.
Audits operating expenses and travel and expense reports analysis.
Performs other related duties as required.
Supervisory
Selects best qualified persons for approved positions.
Ensures that each employee receives complete training in all aspects of the position.
Establishes appropriate reporting methods to ensure that staff is carrying out their responsibilities.
Accurately evaluates employee performance to meet deadline.
Recommends salary increases, promotions, demotions, transfers, and terminations.
Develops employees towards realizing their potential.
Maintains high employee moral and low turnover.
Performs other related duties as required.
REQUIREMENTS
Knowledge, Abilities, and Skills:
Graduation from an accredited college or university with a bachelor’s degree in accounting.
Must possess a minimum of two years knowledge of Accounts Payable and law on filings.
Must possess a minimum of one year previous Accounts Payable work experience.
Must possess previous sales tax knowledge.
Must be computer literate and be proficient with Windows, Word, Excel, ccMail, AS400, and JD Edwards.
Must be able to work with a ten key calculator.
Must possess excellent written and verbal communication skills.
Must be detail oriented, accurate, and possess excellent organizational skills.
Must be able to handle multiple tasks simultaneously and meet deadlines.
Must be able to communicate effectively with employees at all levels.
Must possess excellent interpersonal skills.
Must be able to handle a high volume of paperwork.
Must be bilingual (English/Spanish) both written and verbally.
